The Typical Small Dealer Workflow

Overview

This is the most common shipping workflow for CloudFFL OS customers — small to mid-size firearms dealers, sporting goods retailers, and similar businesses. One person handles the order from start to finish.

Step-by-Step Workflow

1. Order Comes In

A customer places an order via your website, GunBroker, or manual entry. The sales order is confirmed, which automatically creates a delivery order.

2. Find the Delivery

Navigate to Inventory → Deliveries. Your open deliveries are listed with status "Ready" (if stock is available) or "Waiting" (if not).

3. Open the Delivery Order

Click the delivery to open it. You'll see:

  • Products to ship with quantities
  • Shipping Information — carrier, tracking, weight fields
  • Scale controls (if PrintNode scales are enabled) — scale dropdown and Weigh button

4. Prepare the Package

Physically pick the product from your shelves and pack it in the shipping box.

5. Weigh the Package

Place the package on your scale and click Weigh in the Shipping Information section. The Weight for Shipping field updates automatically.

Alternatively, type the weight manually if you don't have a connected scale.

6. Ship It

Depending on your carrier setup:

  • With ShipStation integration: The label is generated in ShipStation and auto-printed via PrintNode
  • With Odoo carrier integration: Click Send to Shipper to generate the label and tracking number
  • Manual shipping: Enter the tracking number in the Tracking Reference field

7. Validate

Click Validate to confirm the delivery. This:

  • Reduces inventory quantities
  • Marks the delivery as done
  • Updates the sales order status

What You Don't Need

For this workflow, you do not need to enable:

  • Packages — you're shipping one box per order
  • Multi-Step Routes — you're picking and shipping from the same spot
  • Put in Pack — the Weigh button on the delivery order handles weight directly
  • Batch Transfers — you're processing one order at a time

Keep it simple. These features exist for larger operations and can be enabled later if your business grows.

Common Variations

Multiple Items, One Box

Same workflow. All items are on one delivery order, you pack them in one box, weigh once, ship once.

Backorders

If you can only ship part of an order, set the shipped quantities and validate. Odoo will ask if you want to create a backorder for the remaining items.

Returns (RMA)

Returns create an incoming transfer. The reverse flow — receive the product back, inspect, restock or dispose.
