Sending invoices to customers

Once an invoice is confirmed, you need to get it to the customer. CloudFFL OS can email invoices as PDF attachments, print them for in-store pickup, or both.

Emailing an invoice

  1. Open the confirmed invoice (from Accounting → Customers → Invoices or directly from the sales order).
  2. Click Send & Print.
  3. CloudFFL OS opens an email composer with:
    • The customer's email address pre-filled (from their contact record)
    • A default subject line with the invoice number
    • A message body you can customize
    • The invoice PDF attached automatically
  4. Review the email and click Send & Print to send it.

No email address on file? If the customer's contact record doesn't have an email, CloudFFL OS prompts you to add one. You can also download the PDF and send it manually through your own email if you prefer.

Printing an invoice

For walk-in customers who want a paper copy:

  1. Open the confirmed invoice.
  2. Click Send & Print.
  3. Check the Print option in the dialog.
  4. CloudFFL OS generates a PDF that you can print directly.

Sending invoices in bulk

If you have several invoices to send at once — for example, at the end of the week for all your dealer-to-dealer sales:

  1. Go to Accounting → Customers → Invoices.
  2. Use the filters to find invoices that haven't been sent yet (status: Posted).
  3. Select the invoices using the checkboxes on the left.
  4. Click Print (under the Actions dropdown) to generate all PDFs at once, or Send & Print to email them individually.

What the customer sees

The PDF invoice includes:

  • Your company name, address, and logo
  • Invoice number and date
  • Customer name and address
  • Line items with descriptions, quantities, and prices
  • Tax breakdown
  • Total amount due
  • Payment terms (when it's due)

Customize your invoice layout. You can adjust your company logo, address, and invoice footer text in Settings → Companies. The layout and color scheme can be customized under Settings → General Settings → Document Layout.
