Linking an Existing Vendor to FastBound
If you already have a vendor in CloudFFL — maybe you have been purchasing from them for a while — but they do not yet have a FastBound link, you can add the link without disturbing anything else on their contact record. The process is the same FFL Lookup wizard, just started from an existing record instead of a new one.
When You Need This
- You are setting up FastBound for the first time and your existing vendors need to be linked.
- A vendor you have used before now needs to receive firearms through a FastBound-tracked Purchase Order.
- A PO is showing the "Vendor has no FFL linked" warning for a vendor you already have in the system.
Step by Step
- Open the vendor's contact record. Go to Purchase → Vendors and search for them, or find them through Contacts.
- Click on the FastBound Compliance tab.
- Click FFL Lookup (or Create FastBound Link).
- Enter their FFL number in the wizard.
- Click Lookup.
- Review the ATF data that comes back.
- Click Confirm.
The FastBound link is added to the existing vendor. Their address fields are updated with the ATF data. No duplicate contact is created.
About Address Updates
When you confirm the lookup, CloudFFL writes the ATF premise address (street, city, state, ZIP) to the vendor's contact record. This is intentional — the ATF database is the authoritative source for an FFL holder's licensed premises address.
Note: Phone and email are only updated if those fields are currently blank on the vendor record. If you have already entered a phone number, it is left as-is.
Checking the FastBound Link
After completing the lookup, you can see the FastBound link in the FastBound Compliance tab. It shows:
- The FFL number on file
- The FFL expiration date
- The FastBound contact ID (assigned by FastBound)
- License name and trade name from FastBound
Important: Each vendor should only have one FastBound link per FastBound account. If you accidentally ran the lookup twice and see two links, contact your system administrator to remove the duplicate.
