Printing Firearm Labels

CloudFFL can print barcode labels for serialized firearms, making it easy to tag inventory for retail display, storage, or filing. Three label formats are available to match different printers and use cases.

Label Formats

FormatSizeBest For
DYMO3.5" × 1.125"Small barcode labels for DYMO thermal printers (30252 Address Labels)
Retail2.5" × 1.5"Price tag style labels for display cases and shelves
Full Page8.5" × 11"Documentation and filing — one firearm per page with full details

What Appears on Each Label

All formats include:

  • Company name
  • Barcode (Code128 format)
  • Serial number
  • Item number (if available)
  • Manufacturer and model

The Retail format adds a condition badge (New, Used, etc.). The Full Page format adds caliber, item type, acquisition date, and vendor information.

Where to Print Labels

Labels can be printed from three places:

1. From an Individual Serial Number

Open any compliance serial number record (via Inventory → Operations → Compliance Serial Numbers) and click the Print Label button in the button area at the top of the form. This prints a label for that single firearm.

2. From an Inbound Order (Batch Print)

After acquiring firearms through any inbound order (Transfer In, Trade-In, or Direct Buy), click the Print Labels button in the header. This prints labels for all firearms in that acquisition at once.

3. From a Receipt (Stock Picking)

After validating a receipt with compliance items, labels can be printed for all compliance lots in the picking.

Choosing a Format

When you click Print Label or Print Labels, the default DYMO format is used. To choose a different format, use the Print menu (printer icon) on the serial number form, where all three formats appear as options:

  • Label (DYMO)
  • Label (Retail)
  • Label (Full Page)
Tip: If you are using a DYMO thermal printer, make sure it is set up as a printer in your browser or operating system. The DYMO label format is pre-configured with the correct paper size (89mm × 29mm) and zero margins for direct printing.

Troubleshooting

  • Label is blank or cut off — Check that your printer's paper size matches the label format. DYMO labels require DYMO 30252 Address Labels or equivalent.
  • Barcode not scanning — Ensure the label printed at the correct DPI. DYMO labels use 203 DPI; retail labels use 96 DPI.
  • Print Label button not visible — The button only appears on serial numbers for products marked with Requires FFL Compliance.
