Shipping an Order (Label Mode)
If your shipping method is set to Label mode, CloudFFL handles the entire shipping process for you — from calculating the cost to printing the label.
How Shipping Costs Are Calculated
When a shipping method is selected on a sales order, CloudFFL asks ShipStation for a real-time shipping rate based on:
- The shipping address
- The package weight
- The selected carrier and service
This rate appears on the sales order so you (and your customer) know the exact shipping cost before the order is confirmed.
Shipping the Order
- When the sales order is confirmed, a delivery order (also called a "picking") is created automatically.
- Go to the delivery order — you can find it by clicking the Delivery button on the sales order.
- Verify the items and quantities are correct.
- Click Validate to mark the order as shipped.
When you validate the delivery:
- CloudFFL contacts ShipStation to get the final shipping rate
- A shipping label is purchased and downloaded automatically
- The label is attached to the delivery order as a file (PDF, PNG, or ZPL depending on your settings)
- The tracking number is saved on the delivery order
- A message is posted on the order with the tracking number and carrier details
Printing the Label
- After validation, look at the message thread at the bottom of the delivery order.
- You will see an attachment with a name like
ShipStation-Label-1Z999AA10123456784.pdf. - Click the attachment to download and print it.
Getting the Tracking Link
CloudFFL automatically generates a clickable tracking link based on the carrier:
- UPS — Links to ups.com tracking
- FedEx — Links to fedex.com tracking
- USPS — Links to usps.com tracking
- DHL — Links to dhl.com tracking
You can find the tracking link on the delivery order.
Canceling a Shipment
If you need to cancel a shipment before the package goes out:
- Open the delivery order.
- The system will void the label through ShipStation.
- The label and tracking information are cleared from the record.
- A cancellation message is posted on the order.
Important: You can only void a label before the carrier picks up the package. Once it is scanned into the carrier's system, you will need to contact the carrier directly.
