Logging Dispositions (Selling Firearms)

A disposition is a bound book entry that records a firearm leaving your inventory. The most common disposition is a regular sale to a customer, but dispositions also cover transfers to other FFLs, NFA transfers, and theft/loss reporting.reporting, and destroyed firearms.

The Most Common Way: Regular Sale via Sales Order

Here is what happens step by step when you sell a firearm through a Sales Order:

1. Create a Sales Order — Go to Sales → Orders and create a new order. Add the firearm product to the order line. For example: Glock 19 Gen5, 9mm.
2. Confirm the Sales Order — Click Confirm. BecauseThis confirms the productorder isbut does not yet create the disposition in aFastBound.

This creates athe disposition record in FastBound.FastBound Dispositionand Status: Awaiting Form 4473 — The disposition starts in this status. The firearm cannot be transferred tobegins the customercompliance yet.workflow. Customer Completes 4473 — The buyer fills out ATF Form 4473 (either paper or electronic through FastBound). NICS Background Check — The background check is submitted to the FBI. Results come back as Proceed, Delayed, or Denied. 4473 ApprovedCompleted — If the NICS check comes back as Proceed,Once the 4473 process is marked as approved.finished, FastBound sends a webhook to CloudFFL,CloudFFL andupdating the order. You can view the 4473 PDF isby automaticallyclicking attachedthe to"4473 PDF" stat button on the sales order.order form. Commit Disposition — After the 4473 is complete, click the "Commit Disposition" button to finalize the bound book entry in FastBound. Alternatively, if configured, the webhook can handle this step automatically. Deliver the Firearm — Process the delivery in CloudFFL to transfer the firearm to the customer. Invoice and Collect Payment — Create the invoice and record payment.

Disposition Types

The disposition_show_type field on the sales order determines the type of disposition created in FastBound:

• Regular Sale — The default. Used for standard sales to individual customers (non-licensees).
• Sale to FFL — When selling to another licensed dealer.

NFA Transfer — For regulated items like suppressors and short-barreled rifles. These have additional requirements (covered in the NFA chapter). Theft/Loss — When reporting a firearm stolen or lost. Not a sale, but still a disposition because the firearm is leaving your inventory records. Destroyed — When a firearm has been destroyed. Like theft/loss, this is not a sale but records the firearm leaving your inventory.

Key Fields on the Sales Order

When a sales order involves a compliance firearm, you will see additional fields in the FastBound section:

• is44734473 Completed — Set to True when the 4473 form has been completed and approved
• NTN (NICS Transaction Number) — The background check reference number, recorded for audit trail
• 4473 PDF — AutomaticallyAccessible attachedvia tothe "4473 PDF" stat button on the sales order when the webhook firesform

What If the Sale Is Denied?

1. The NICS check comes back as Denied
2. Do NOT transfer the firearm — It must stay in your inventory
3. Process a refund for the customer
4. The disposition in FastBound is not completed — the firearm remains in your bound book as acquired but not disposed
