The Sales Order Lifecycle
Every sale in CloudFFL follows a consistent path. Understanding this lifecycle helps you know where each order stands.
The Steps
- Create a Quotation — Start a new sale, add the customer and products.
- Send to Customer (optional) — Email the quotation for review. Useful for larger orders or special requests.
- Confirm the Order — Click "Confirm" to turn the quotation into a sales order. A delivery order is created.
- Deliver the Products — Hand the items to the customer or ship them. Validate the delivery in CloudFFL.
- Create an Invoice — Generate the bill for the customer.
- Record Payment — Record when the customer pays (cash, card, check).
Status Badges
As an order moves through the lifecycle, its status changes:
- Quotation — Draft, not yet confirmed
- Quotation Sent — Emailed to the customer
- Sales Order — Confirmed by the customer
- Locked — Order is complete and finalized
- Cancelled — Order was cancelled
Tip: For a typical walk-in sale (customer picks a gun, pays, and leaves), you can move through all these steps in just a few minutes. The process is quick once you are familiar with it.
Important: Once an order is confirmed, it is harder to make changes. Always double-check the customer, products, and prices before clicking Confirm.
