Shipping an Order (Export Mode)

If your shipping method is set to Export mode, CloudFFL sends the order details to ShipStation as a pending shipment. Your warehouse team then handles the actual shipping from ShipStation.

Exporting an Order to ShipStation

There are two ways orders get sent to ShipStation:

Automatic export — If your ShipStation instance has "Auto-Export on Ready" turned on, orders are sent to ShipStation automatically as soon as the delivery order is ready to ship. No clicks required.

Manual export — If auto-export is not enabled, you can send orders one at a time:

  1. Open the delivery order (from the sales order, click Delivery).
  2. You will see an Export to SS button in the top area of the page.
  3. Click it to send the order to ShipStation.
  4. A success message will confirm the export.

What Gets Sent to ShipStation

When an order is exported, ShipStation receives:

  • The customer's shipping address
  • All items in the order (name, quantity, price, weight)
  • Your return address (from the warehouse)
  • The order total
  • A unique reference number so ShipStation can match it back to CloudFFL

Tracking the Export Status

Every delivery order shows its ShipStation status with a colored badge:

  • Pending (gray) — Not yet sent to ShipStation
  • Exported (blue) — Sent to ShipStation, waiting to be shipped
  • Shipped (green) — ShipStation confirmed it has been shipped
  • Error (red) — Something went wrong during export

You can also see the full ShipStation details by clicking the ShipStation tab on the delivery order.

What Happens After Export

  1. Your warehouse team sees the pending shipment in ShipStation.
  2. They select a carrier and service, print the label, and ship the package.
  3. ShipStation sends an automatic update (webhook) back to CloudFFL.
  4. CloudFFL updates the delivery order with:
    • The tracking number
    • The carrier and service used
    • The shipping date and cost
    • The status changes to "Shipped"

If you have "Auto-Validate on Ship" turned on in your ShipStation settings, CloudFFL will also automatically mark the delivery order as complete when the webhook arrives.

Viewing ShipStation Logs

If something does not look right, you can review the communication log:

  1. Open the delivery order.
  2. Click the SS Logs button (it appears after an export attempt).
  3. You will see a list of every message sent to and received from ShipStation for this order, including any errors.

Tip: If an export fails, check the error message on the delivery order. Common issues include missing shipping addresses or missing phone numbers. Fix the issue and click Export to SS again.
