Bound Book Entries from POS Sales

Every time you sell a firearm at the point of sale, federal law requires that the sale is recorded as a disposition in your bound book. FastBound is your electronic bound book, and it must stay in sync with every POS firearm transaction.

What Gets Recorded in FastBound

When a firearm leaves your shop through a POS sale, FastBound needs the following information logged as a disposition entry:

  • Serial Number — The exact serial number of the firearm sold
  • Make / Manufacturer — e.g., Glock, Smith & Wesson, Ruger
  • Model — e.g., G19 Gen5, M&P Shield, SR9
  • Caliber / Gauge — e.g., 9mm, .45 ACP, 12 Gauge
  • Type — Pistol, Revolver, Rifle, Shotgun
  • Buyer Name and Address — As it appears on the 4473 form
  • Date of Disposition — The date the firearm was transferred to the buyer
  • Type of Disposition — Typically "Sale to Individual" or "Sale to FFL"

Automatic vs Manual Entry

Depending on how your CloudFFL system is configured, dispositions may flow to FastBound in one of two ways:

  • Automatic — When the POS sale is completed and the delivery is validated, CloudFFL sends the disposition data to FastBound automatically. You still need to verify the entry.
  • Manual — After completing the POS sale, you open FastBound separately and create the disposition entry by hand. This is more common during initial setup or if the integration is not yet configured.

Tip: Even if your system sends dispositions automatically, always verify the entry in FastBound after the sale. Automation is a time-saver, not a replacement for checking your work.

How to Verify a Disposition After a POS Sale

  1. Complete the firearm sale at the POS, including the 4473 and NICS check.
  2. Hand the firearm to the customer and close the POS transaction.
  3. Open FastBound (either from the CloudFFL menu or by going to your FastBound account directly).
  4. Navigate to Dispositions or search by the firearm's serial number.
  5. Confirm the disposition record shows the correct serial number, buyer name, and today's date.
  6. Verify the 4473 form number is linked to the disposition if your system tracks it.
  7. If anything is missing or incorrect, update the record immediately.

Common Mistakes to Avoid

  • Forgetting to log the disposition — If you complete the POS sale but skip FastBound, your bound book will be missing a record. This is a federal violation.
  • Wrong serial number — Double-check the serial on the physical firearm against what is in FastBound. Typos happen, especially with long serial numbers.
  • Delayed entry — Do not wait until the end of the day or the end of the week. Log dispositions at the time of sale or as close to it as possible.
  • Mismatched buyer info — The name and address in FastBound must match the 4473 form exactly.

ATF Requirement: The ATF requires that dispositions be recorded in your bound book by the close of the next business day after the firearm leaves your inventory. However, best practice is to record the disposition at the time of sale. If an ATF inspector walks in, your bound book must be current and accurate. Do not leave disposition entries for later.
