Product & Inventory Reports

Product & Inventory Reports

CloudFFL's product report gives you a high-level view of your compliance inventory, aggregated by manufacturer, type, and model. While the Stock Report and Serial Audit focus on individual serial numbers, the Product Report answers bigger-picture questions like "How many Glock pistols do we have?" or "What's our total rifle inventory?"

Accessing the Product Report

  1. Go to FastBoundReportingProduct Report.
  2. The report (fb.product.report) displays your compliance inventory grouped by manufacturer, firearm type, and model.

What the Report Shows

For each grouping (e.g., Glock / Pistol / G19 Gen5), the report shows:

  • Available: Firearms currently in stock and not pending any transaction
  • Pending Disposal: Firearms that are part of an open sales order or transfer but have not yet left your inventory
  • Disposed: Firearms that have been sold, transferred, or otherwise left your inventory
  • Caliber breakdown: Counts per caliber within each grouping
  • Condition: New vs. used counts

Filtering the Report

Use the filter and group-by options to answer specific questions:

  • "How many Glock pistols do we have in stock?" → Filter by Manufacturer = Glock, Status = Available
  • "What shotguns have we sold this month?" → Filter by Type = Shotgun, Status = Disposed, Date = This Month
  • "Show me all used firearms in inventory" → Filter by Condition = Used, Status = Available
  • "What's our total 9mm inventory?" → Filter by Caliber = 9mm, Status = Available

Exporting Reports

You can export the product report for your records:

  • Click the Export button (or use Odoo's built-in list export feature)
  • Choose your format (Excel or CSV)
  • Save the file for your records, insurance documentation, or accountant

Discrepancy Report

In addition to the product report, CloudFFL tracks lot/serial records that have FastBound sync issues. If a serial number failed to sync to FastBound (due to an API error, connection issue, etc.), it will show up in the discrepancy view. Check this periodically and resolve any sync failures by re-committing the records.

When to Use These Reports

SituationWhich Report
ATF inspection preparationStock Report + Serial Audit + Product Report
Insurance documentationProduct Report (export full inventory)
Business planning (what's selling, what's sitting)Product Report with date filters
Checking a specific serial numberStock Report or Serial Audit
End-of-year inventoryAll three reports

Tip: Export and save a copy of your Product Report at the end of each month. This gives you a historical record of your inventory levels over time, which is useful for business planning and proves your compliance diligence to ATF inspectors.

Sync Issues: If the discrepancy report shows serial numbers that failed to sync with FastBound, resolve them immediately. A firearm that is in your physical inventory but not in FastBound is a bound book violation. Go to the affected records and re-commit them, or manually create the entry in FastBound if the API sync cannot be fixed.
