Viewing Your Bound Book (A&D Records)

Your electronic bound book is your single most important compliance record. It contains every acquisition (firearm in) and every disposition (firearm out) that has passed through your shop. This is what an ATF Inspector will ask to see first.

Where to View Compliance Serial Numbers

Your primary view into the bound book is at FastBound → Products → Compliance Serial Numbers. This screen lists every firearm tracked in your system with its full compliance details.

What Each Record Shows

Each compliance serial number entry displays the following information:

Serial NumberThe manufacturer's serial number engraved on the firearm
Acquire DateWhen the firearm was logged into your inventory
Is AcquiredConfirms the acquisition record is committed in FastBound
Is DisposedConfirms the firearm has been disposed of (sold, transferred, etc.)

Filtering Your Bound Book

You can filter the compliance serial numbers list to quickly find what you need:

  • Acquired (In Stock) — Firearms currently in your inventory. The is_acquired flag is True and is_disposed is False.
  • Disposed (Sold/Transferred) — Firearms that have left your inventory. Both flags are True.
  • Pending — Records that may not yet be fully committed in FastBound.
  • By Date Range — Filter by acquire date to see firearms received during a specific period.
  • By Manufacturer or Model — Search for specific makes and models.

Stock Reconciliation Report

The Stock Report at FastBound → Reporting → Stock Report is one of the most important tools for daily compliance. It compares your Odoo inventory (what your system thinks you have) against your FastBound records (what your bound book says you have).

  • If a firearm is in Odoo but not in FastBound — the acquisition record may be missing
  • If a firearm is in FastBound but not in Odoo — there may be an inventory discrepancy
  • Any mismatches are flagged for review so you can investigate and resolve them

ATF Inspection: When an ATF Industry Operations Inspector (IOI) visits your shop, they will pull firearms off your shelf and ask you to show the matching acquisition record in your bound book. They will also check recent dispositions to make sure sold firearms have complete records. Discrepancies between your physical inventory and your bound book are a serious compliance issue. Run the Stock Report regularly to catch problems before an inspector does.

Serial Audit

For a more detailed review, use the Serial Audit at FastBound → Reporting → Serial Audit. This report lets you audit individual serial numbers to verify that the data in Odoo matches FastBound exactly. Use it when:

  • You find a discrepancy in the Stock Report
  • You are preparing for an ATF inspection
  • You want to verify a specific firearm's complete compliance history

Tip: Make it a habit to run the Stock Report at the end of each business day, especially on days when you received shipments or had multiple firearm sales. Catching a discrepancy on the same day is easy to fix. Finding it weeks later is much harder.
