Reporting Theft or Loss
If a firearm in your inventory is lost, stolen, or destroyed, federal law requires you to report it promptly. CloudFFL allows you to record the loss in your bound book through a special disposition type, but you also have obligations to notify the ATF and local law enforcement.
Types of Loss Dispositions
- Theft: A firearm was stolen from your shop, vehicle, display case, or storage area.
- Loss: A firearm is unaccounted for. You cannot locate it during inventory, and you have no evidence it was stolen. It is simply missing.
- Destroyed: A firearm was physically destroyed (e.g., damaged beyond repair and cut up for disposal).
Step-by-Step: Recording Theft or Loss in CloudFFL
- Discover or confirm the firearm is missing. Thoroughly search your shop, storage, and vehicle before reporting.
- Identify the serial number and description of the missing firearm from your records.
- In CloudFFL, create a new disposition with the type set to "Theft/Loss".
- Select the appropriate sub-type: Loss, Theft, or Destroyed.
- Enter the firearm's serial number and description. No contact/recipient is required since there is no transfer to another person.
- Add any notes about the circumstances (date discovered, last known location, etc.).
- Confirm the disposition. CloudFFL commits the record to FastBound.
- The firearm is now marked as disposed in your bound book with the theft/loss reason.
Additional Required Reporting
Recording the loss in CloudFFL updates your bound book, but you must also:
- File ATF Form 3310.11 (Federal Firearms Licensee Theft/Loss Report) with the ATF. You can file this online through the ATF's website or by fax.
- Report to local law enforcement. File a police report with the serial number, make, model, caliber, and any details about the theft or loss.
- Report to your insurance company if applicable.
Timeline
- ATF Form 3310.11 must be filed within 48 hours of discovering the theft or loss.
- Local law enforcement should be notified immediately, especially in the case of theft.
- The FastBound disposition should be created as soon as you confirm the firearm is missing.
Critical: The ATF must be notified within 48 hours of discovering a stolen or lost firearm. This is a federal requirement under 18 U.S.C. 923(g)(6). Failure to report can result in license revocation and criminal penalties. Do not delay — report immediately.
Tip: Keep a printed copy of ATF Form 3310.11 at your shop so you can start filling it out immediately if a theft or loss occurs. You can download the form from the ATF's website. Having it on hand saves time when every hour counts.
After Reporting
- Keep copies of the ATF form, police report, and insurance claim on file.
- If the firearm is later recovered, you will need to record a new acquisition to bring it back into your bound book.
- Review your security measures to prevent future losses — cameras, locked displays, alarm systems, and employee access controls.
