Walk-In Direct Buys

A direct buy is when someone walks into your shop and wants to sell you a firearm outright for cash. Unlike a trade-in, the seller is not looking to apply credit toward another purchase — they just want to be paid. CloudFFL's Direct Buy workflow handles the acquisition, payment, and accounting in one step.

Step-by-Step: Processing a Direct Buy

  1. Go to FastBoundAcquisitionsDirect Buy.
  2. Click New to create a new inbound record.
  3. In the Partner field, select or create a contact for the person selling the firearm. You need their name and address at minimum.
  4. In the firearm lines section, click Add a line.
  5. Enter the firearm details: Manufacturer, Model, Type, Caliber, Serial Number, and Condition.
  6. Enter the Purchase Price — the amount you agreed to pay the seller.
  7. Review the details and click Confirm.
  8. CloudFFL commits the acquisition to FastBound and creates a vendor bill in Odoo's accounting module for the purchase amount.

Paying the Seller

After confirming the direct buy, you have two options for paying the seller:

  • Print a check: Use the Print Check button on the direct buy form. This generates a check from your business account that you can hand to the seller on the spot.
  • Pay later: The vendor bill is created in Odoo Accounting. You can pay it via your normal accounts payable process (cash, check, or bank transfer).

Example

A walk-in customer, Mike Johnson, wants to sell you his Remington 870 Express shotgun:

  1. Create a new Direct Buy and select Mike Johnson as the partner.
  2. Add the firearm: Manufacturer = Remington, Model = 870 Express, Type = Shotgun, Caliber = 12 Gauge, Serial = RS12345678, Condition = Used.
  3. Set the purchase price to $275.00.
  4. Click Confirm.
  5. Click Print Check to print a $275.00 check for Mike.
  6. The Remington 870 is now in your inventory and recorded in FastBound.

Tip: The Direct Buy form internally records the transfer type as direct_buy. You can find all direct buy records under FastBoundAcquisitionsAll Inbound Records and filter by type.

Important: Even though the seller is not a licensed dealer, you are still required to record this acquisition in your bound book. CloudFFL does this automatically through FastBound, but make sure you collect proper identification from the seller and keep their contact information on file.
