Walk-In Direct Buys

A direct buy is when someone walks into your shop and wants to sell you a firearm outright for cash. Unlike a trade-in, the seller is not looking to apply credit toward another purchase — they just want to be paid. CloudFFL's Direct Buy workflow handles the acquisition and purchase order creation in a multi-step process.

Step-by-Step: Processing a Direct Buy

  1. Go to FastBoundAcquisitionsDirect Buy.
  2. Click New to create a new inbound record.
  3. In the Partner field, select or create a contact for the person selling the firearm. You need their name and address at minimum.
  4. In the firearm lines section, click Add a line.
  5. Enter the firearm details: Manufacturer, Model, Type, Caliber, Serial Number, and Condition.
  6. Enter the Cost — the amount you agreed to pay the seller.
  7. Review the details and click Acquire Items. This records the acquisition in FastBound.
  8. Next, click Create PO to generate a Purchase Order in Odoo for the purchase amount.
  9. From there, follow the standard Odoo Purchase Order workflow to confirm the PO and process payment to the seller.

Paying the Seller

After creating the Purchase Order, you can confirm it and process payment through Odoo's standard purchasing workflow. The PO can be confirmed and a vendor bill created, which you then pay via your normal accounts payable process (cash, check, or bank transfer).

Example

A walk-in customer, Mike Johnson, wants to sell you his Remington 870 Express shotgun:

  1. Create a new Direct Buy and select Mike Johnson as the partner.
  2. Add the firearm: Manufacturer = Remington, Model = 870 Express, Type = Shotgun, Caliber = 12 Gauge, Serial = RS12345678, Condition = Used.
  3. Set the cost to $275.00.
  4. Click Acquire Items to record the acquisition in FastBound.
  5. Click Create PO to generate a Purchase Order for $275.00.
  6. Confirm the PO and process payment to Mike through Odoo's standard workflow.
  7. The Remington 870 is now in your inventory and recorded in FastBound.

Tip: You can find all direct buy records under FastBoundAcquisitionsAll Inbound Records and filter by type.

Important: Even though the seller is not a licensed dealer, you are still required to record this acquisition in your bound book. CloudFFL does this automatically through FastBound, but make sure you collect proper identification from the seller and keep their contact information on file.
