Physical Inventory Counts
A physical inventory count means walking through your store and counting what is actually on the shelves, then comparing it to what CloudFFL thinks you have. This is essential for keeping your records accurate and is required for ATF compliance.
Starting a Count
- Go to Inventory → Operations → Physical Inventory.
- The list shows all your storable products and their expected quantities.
- You can filter to count only specific categories (e.g., just Handguns) or do everything at once.
- Click Apply All when you are ready to start counting.
Counting Process
- For each product, physically count the items on your shelves, in your safe, and in storage.
- In the Counted Quantity column, enter the actual number you counted.
- If the counted quantity matches the expected quantity, no adjustment is needed.
- If there is a difference, CloudFFL highlights it so you can investigate.
Applying the Count
- After entering all your counts, review the differences.
- Click Apply All to update the system with your actual counts.
- CloudFFL automatically creates inventory adjustments to bring the system in line with reality.
Important: For firearms, discrepancies between your physical count and system count should be investigated carefully. Missing firearms have ATF compliance implications.
Tip: Schedule regular counts — monthly for high-value items like firearms, quarterly for accessories and ammo. An annual full count is standard practice.
