Closing & Cash Reconciliation
At the end of your shift (or end of the business day), you need to close the POS session. Closing reconciles your cash drawer and posts the session's transactions to CloudFFL's accounting.
Step by Step
What Happens When You Close
- All POS transactions from this session are posted to accounting.
- The cash difference (over or short) is logged.
- The session moves to "Closed" status — no more sales can be rung up.
- You can view the closed session's details anytime under Point of Sale → Orders → Sessions.
Handling a Cash Difference
If your counted cash does not match the expected amount:
- Small difference ($1-2) — Likely a counting error or making change incorrectly. Note it and move on.
- Larger difference — Recount the drawer. Check for bills stuck together or coins that rolled under the tray.
- Persistent shortages — Report to your manager. Consistent cash differences may indicate a process issue.
Why Closing Daily Matters
- Accurate books — Your accounting stays current and reconciled
- Cash control — Catching discrepancies the same day makes them easier to investigate
- Clean start — Tomorrow's shift starts with a fresh session and a known opening balance
Important: Never leave a POS session open overnight. Always close it at the end of the business day, even if the cash counts perfectly. Open sessions keep transactions in limbo and delay your accounting.
